Drafts, publishing and preview links
Work on a live page without changing your site, send someone a preview, and publish when it is right. You can also add new pages that already match your design.
Who can do this
Owners and editors can edit and publish. People with the Viewer role see the editor read-only. Prefer not to do it yourself? Our team still makes any change you ask for.
Edit a live page without changing the site
- Sign in to WorkspaceCMS and open Pages. Click the page you want to change.
- Make your edits. A yellow note says your edits are saved but not live yet. The editor saves as you go.
- Visitors keep seeing the published page while you work. In the page list, the page is flagged Unpublished changes so you can find it again.
Publish or discard your changes
- Click Publish changes to put your edits on the site. It updates in about a minute.
- Or click Discard changes to throw them away and keep the live page exactly as it is.
- Unpublish takes a live page down and keeps it as a draft.
When Sage or an AI assistant you connected made the changes, the editor says who drafted them, so you know to read them over before you publish. See connect an AI assistant.
Share a preview link
A preview link lets a client, colleague or business partner see the page before it goes live. They do not need an account.
- In the page editor, find the Publish box and click Share preview, under View live.
- Click Create a preview link. The link is copied for you. Paste it into an email or message.
- The link stops working after 7 days.
- To stop a link early, find it under Active links and click Turn off, or click Turn off all links.
Add a new page
- In Pages, click New page.
- Pick a template. Templates are already styled to match your site, so the new page looks like the rest of it.
- Type a title and click Create page. The page starts as a private draft.
- Edit the text, images and sections, and fill in the search title and description. Click Save draft as you go.
- Click Publish when it is ready. Only published pages count toward your plan’s page limit.
Undo a published change
- In the page editor, open Version history.
- Pick the earlier version you want and restore it.
- Restoring also clears any unpublished changes on that page.
Troubleshooting
- I published but the site still shows the old page
Give it about a minute, then refresh your browser. Search engines take longer, from days to weeks, to show new titles and descriptions.
- Someone says the preview link no longer works
Links stop working after 7 days or when they are turned off. Create a new one and send that instead.
- Everything in the editor is greyed out
Your role is Viewer, which is read-only. Ask an owner to give you edit access.
- Part of the page cannot be edited
Some parts are built into your site’s design. Click Ask us to change that and our team will change it for you.
Do visitors see my edits while I work?
No. On a page that is already live, your edits are saved as unpublished changes. Visitors keep seeing the published page until you click Publish changes.
How long until a published change is live?
About a minute. If you do not see it, refresh the page in your browser.
Does the person I send a preview link to need an account?
No. Anyone with the link can open it without logging in. Links stop working after 7 days, and you can turn them off at any time.
Can I undo a change after I publish it?
Yes. Open Version history in the editor and restore an earlier version. Restoring also clears any unpublished changes.
Do drafts count toward my page limit?
No. Only published pages count. Drafts, your blog, Terms of Service and Privacy Policy never count.
