When a caller needs a person, it puts them through to your team.
Not every call should end with the AI. Some customers need you. The AI Receptionist handles the routine questions and, during your hours, transfers the rest to the number you choose.
- During your hours
- One number you choose
- Noted in every summary
- Thanks for calling Ridgeway Print Co, this is the virtual assistant. How can I help?
- I placed a large order last week and need to speak to someone about it.
- Of course. I'll connect you with the team now, one moment.
- Transferred to the front desk
How does AI receptionist call transfer work?
During the business hours you set, if a caller asks to speak to a person, the receptionist tells them it is connecting them and transfers the call to the one number you picked in your settings. Outside your hours it offers to book a time or takes a message instead, and every transfer is noted in the call summary you receive.
Three things have to be true
- 1
The caller asks for a person
Someone says they want to speak to a human, or to the team. It tells them it is connecting them and hands the call over.
- 2
It is inside your business hours
By default, transfers happen only during the hours you set, read in your own time zone, so a 10 pm call is not put through to a phone nobody is holding.
- 3
You chose a number to ring
Pick one transfer number in your settings, such as your front desk or your cell. Change it whenever you like.
You choose where calls go, and when.
The transfer number sits in the same settings as your answer mode and hours. Point it at the front desk if you have one, or at your own cell if you work alone.
Saving a change takes effect on the next call, and a free test call lets you try the hand-off from your own phone first.
- When nobody picks up, and after hours
- After hours only
- Only when nobody picks up
- Answer every call
What happens when it does not transfer
Outside your hours
It tells the caller the team is away, then offers to book them a time on your calendar or takes a message for the morning.
When a question has a written answer
Hours, services, area and the prices you chose to share are answered from your notes, so the team only takes the calls that need them.
When it is an emergency
Anyone describing an emergency is told to hang up and call 911. That instruction comes before any transfer.
Transfers, answered.
Can an AI receptionist transfer a call to a real person?
Yes. During your business hours, when a caller asks for a person, it tells them it is connecting them and transfers the call to the number you chose in your settings.
Which number does it transfer to?
One number you pick, such as your front desk or a cell phone. You can change it in the dashboard at any time, and the change applies from the next call.
Does it transfer calls at night?
Not by default. Transfers happen during the business hours you set. Outside them, it offers to book the caller a time or takes a message for your team.
Will I know a call was transferred?
Yes. The transfer is recorded as the outcome in that call's summary, which is emailed to you and saved in your dashboard with the transcript.
Is call transfer included?
Yes. Transfers to a person are part of every plan, from $49/mo.
